My students are not receiving their invitations

The usual cause is a teacher account still being verified, which holds invitations until approval. How to tell, and what to do in every other case.

The most common cause is that your teacher account is still being verified. Until an administrator approves it, the invitations you lined up when you adopted your demo class are held rather than sent, and the roster marks those students Awaiting approval. Nothing is lost and you do not need to resend: every held invitation goes out on its own the moment your approval comes through.

If that is not what your roster shows, the row itself tells you which of the other causes you are looking at. Work down this page in order.

Read the roster row first

Open the class from Teacher Dashboard and scroll to the Roster. Two things on each row answer the question. The badge beside the name says what state the membership is in, and the right-hand Last login column (which shows a date for a student who has joined) shows when the invitation was sent instead.

Cause 1: your teacher account is still being verified

If an amber banner headed Verifying your teacher status sits at the top of the group, this is your answer. It appears when you have turned your demo class into a real one before an administrator has confirmed you teach at your institution.

In that same step you can paste student addresses, one per line. Those addresses are written to the roster immediately, but the emails are staged rather than sent. Approval releases all of them at once, in one batch, to the addresses you already entered.

Verification is normally reviewed within one business day, and you get an email when it clears. While it is pending, adding more students by email or creating accounts for them is refused, Create accounts says so on screen, and Send Invite will not go through.

  • Do not remove and re-add held rows. That does not make the email go out any sooner.
  • Do keep working: chapters, group controls and your curriculum can all be set up while you wait.
  • You can still share the group code in the meantime, and students who join that way land in the class straight away.

Cause 2: the student already had an account

If the address you typed already belongs to an account, no invitation link is sent, because there is nothing for that person to accept. They are added to your class immediately and get an email with the subject You're in [your name]'s group, plus a notification in the bell on their account.

On your roster they appear with no badge at all, as an ordinary member. If a student in that situation tells you no invitation arrived, they are right, and nothing is wrong. Ask them to sign in and look for the class on their account page rather than hunting for an invitation email.

Cause 3: it was sent, but not to an inbox they are checking

A row that reads Invited with a date has already been mailed. Invitations are sent in the background, so allow a few minutes after you press the button, then treat it as a delivery question.

The message comes from Questiva Consultants, and the subject line is your name followed by the class name, something close to Ada Lovelace invited you to join ACC 210 Fall. That exact phrasing is the most reliable thing for a student to search their mail for.

  • Ask them to search all folders for the subject line above, not only the inbox, spam, junk, Promotions and Other all swallow first-contact mail.
  • Campus mail systems often quarantine bulk mail from a sender they have not seen before. Your IT desk can release it and allow the sender for the rest of the term.
  • Check whether the address forwards somewhere else. A departmental alias that nobody reads is a very common dead end.
  • Personal addresses are fine. Nothing in the platform requires an institutional domain.

Resend the invitation

  1. Open the class roster

    Go to the Teacher Dashboard and find the student's row in the Roster.

  2. Use the paper-plane icon

    At the end of the row, the paper-plane icon resends the invitation. Hovering it shows when the last one went out.

  3. Confirm it went

    A message appears naming the address it was sent to, and the date in the right-hand column updates.

Cause 4: the address has a typo

The address the invitation went to is printed on the roster row, for a student who has not joined yet it is all the row shows, because there is no account behind it. If it is wrong, correct it by replacing the row rather than resending.

  1. Remove the wrong row

    Use the small × at the end of the row and confirm. An invitation that was never accepted carries no progress or grades, so nothing is lost.

  2. Invite the corrected address

    Press Invite students, type the right address, and press Send Invite.

  3. Check the badge

    The new row should read Invited with today's date beside it.

When email is not going to work at all

Some cohorts never receive our mail, a filtered campus domain, an alias nobody monitors, or a class you need seated inside a single lab session. There are two routes that do not depend on email reaching the student.

Share the group code

Every class has an eight-character code of letters and numbers. It sits in the group header as Join code, and again under the invite form as Group code, with Copy code and Copy invite link buttons. Students go to the join page, type the code, and they are in. It works read aloud, printed on a syllabus, or pasted into your LMS.

A student needs a free account to join, and the code works immediately after they create one. This is the fastest fix in a room with people in front of you, and it works even while your teacher account is still being verified.

Create accounts for students directly

Create accounts in the invite panel makes accounts for students who do not have one, and hands you a temporary password for each. You paste or upload your class list (up to 100 students per batch), and the passwords come back on screen to print or download. Each password works for a single sign-in; the student chooses their own straight away. Anyone on the list who already has an account is simply added to the roster, with their existing password untouched.

Two limits worth knowing

  • The demo group never emails real people. It is a sandbox with sample students in it, which is why it offers Use this for real instead of an invite button.
  • Batches are capped at 100 addresses per upload, and very large cohorts are paced. A whole class list goes through untouched, but if you are seating several hundred students in one sitting you may be asked to wait a few minutes between uploads.

Questions we get about this

How long do held invitations wait before they send?
Until your teacher account is approved. Requests are normally reviewed within one business day, and you get an email when it clears. The held invitations are then released automatically to the addresses already on your roster, with no action from you.
Does resending create a new invitation link?
No. Resending sends the same link as the original, so the first email still works if the student finds it later. A link is only used up when someone accepts it, or when you remove the row from the roster.
Do invitations expire?
No. A student can accept an invitation weeks after you sent it and still land in your class. The only ways a link stops working are being accepted, or the row being removed from the roster.
Can I see whether a student opened the invitation?
No. The roster shows the date the invitation was sent, not whether it was opened or clicked. Once a student accepts, the badge disappears from their row and their reading, completion and score start filling in.
